Deployed Response Inc. - Terms & Conditions

Before submitting your accommodation request, please read and accept the following terms. Your acceptance is recorded with a timestamp for our records and yours.

TERMS AND CONDITIONS OF INQUIRY SUBMISSION

Please scroll through the full terms before accepting
Effective: October 8, 2026  |  www.deployedresponse.com

1. Parties and Purpose

These Terms and Conditions of Inquiry Submission ("Terms") govern the submission of accommodation management inquiries, assignment requests, and related communications to Deployed Response Inc., a corporation incorporated under the laws of Canada and registered to carry on business in Alberta ("Deployed Response Inc.", "we", "us"). By submitting an inquiry through this form, you ("Submitter") acknowledge that you have read, understood, and agreed to these Terms on behalf of yourself and, where applicable, the organization you represent.

Submitting an inquiry does not create a binding service agreement between the Submitter and Deployed Response Inc. A formal service relationship is established only when your organization signs our Work Authorization and a Service Agreement for the specific deployment.

2. Nature of the Inquiry

This form is intended for business-to-business (B2B) inquiries only. Deployed Response Inc. provides workforce and crew accommodation management services exclusively to organizations, government agencies, contractors, and other commercial entities. By submitting this form, you confirm that:

  • You are submitting on behalf of a registered business, government agency, organization, or commercial enterprise;
  • You have authority to submit this inquiry on behalf of that organization;
  • The accommodation need described is for workforce, crew, or operational purposes - not for personal leisure travel; and
  • The information you provide is accurate, complete, and not misleading.

3. No Guarantee of Service Availability

Submission of this inquiry form does not guarantee that Deployed Response Inc. will accept the assignment, that accommodation will be available, or that the described service can be provided at the requested specifications. We will respond to all inquiries promptly and reserve the right to decline any assignment at our sole discretion.

Pricing provided at the inquiry stage is an estimate only and is not guaranteed. In catastrophe events and emergency deployments, market conditions, regional inventory and supplier rates can shift materially between inquiry and deployment. How cost changes are handled, including any variance approved in advance, is set out in the Service Agreement for that deployment. No accommodation booking is made on your behalf until that Service Agreement is signed and the funding it requires is in place.

4. Collection and Use of Personal Information: PIPEDA

By submitting this form, you consent to Deployed Response Inc. collecting and using the personal information provided - including your name, business email, phone number, organization name, and inquiry details - for the following purposes:

  • Evaluating and responding to your accommodation inquiry;
  • Contacting you to discuss the details of the requested assignment;
  • Preparing a service proposal, Work Authorization or Service Agreement; and
  • Adding your contact information to Deployed Response Inc.'s CRM system for ongoing service relationship management.

We will send you marketing emails only if you tick the optional consent box below. Your acceptance of these Terms does not give that consent.

Deployed Response Inc. collects and uses personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's Personal Information Protection Act (PIPA). Your information will not be sold, rented, or disclosed to third parties for their own marketing purposes. For full details, please review our Privacy Policy.

You may withdraw your consent to receive commercial electronic messages at any time by clicking the unsubscribe link in any email from Deployed Response Inc. or by contacting info@deployedresponse.com. All commercial electronic messages comply with Canada's Anti-Spam Legislation (CASL).

5. Confidentiality of Submitted Information

Deployed Response Inc. treats all information submitted through this form - including project details, workforce descriptions, site locations, budget parameters, and organizational information - as commercially sensitive and will hold it in confidence. This information will be used solely to evaluate and respond to your inquiry and will not be disclosed to any third party other than as required to prepare and deliver a service response, or as required by law.

6. No Binding Commitment Until Funding Is in Place

Submission of this inquiry form does not create any financial obligation on either party. No accommodation booking is made and no costs are incurred until (a) your organization has signed our Work Authorization and a Service Agreement for the deployment, and (b) the funding that the selected program requires is in place. Depending on the program, that means direct-billing accounts established with the properties, an authorized payment card, or cleared funds held on account before we commit to any supplier. We do not commit to suppliers beyond the funding in place, which protects both parties from unauthorized charges.

7. Accuracy of Information

You represent and warrant that all information submitted through this form is accurate, complete, and not misleading at the time of submission. You acknowledge that Deployed Response Inc. will rely on the submitted information to evaluate accommodation options and that inaccurate or incomplete information may result in unsuitable options being presented, delays in response, or additional costs. Deployed Response Inc. is not liable for sourcing failures or cost overruns arising from inaccurate or incomplete information provided by the Submitter.

8. Response Times

We aim to acknowledge every inquiry within 24 hours, and faster during an active emergency. These are service goals, not contractual commitments. The service standards that apply once we are working together, including how quickly crews can be checked in, are set out in the Work Authorization.

9. Intellectual Property

All accommodation proposals, rate information, logistics packages, and other materials provided by Deployed Response Inc. in response to this inquiry are the confidential and proprietary information of Deployed Response Inc. These materials may not be shared with third parties, used to solicit competing quotes, or reproduced without Deployed Response Inc.'s prior written consent. Deployed Response Inc.'s net supplier rates are commercially sensitive and will not be disclosed in any proposal or communication.

10. Our Role and Liability

Submitting an inquiry does not create a service relationship. If we go on to work together, our role and our liability are set out in the signed Work Authorization and in the Service Agreement for that deployment, and nothing on this website changes them.

Our role depends on the program selected for the deployment. Under the Direct Bill and Credit Card programs we act as your agent: the property bills your organization directly and your organization is the payer. Under the Advanced Retainer program we contract with suppliers in our own name and pay them from funds your organization has pre-funded. In every program, we do not own, operate or control the properties or the services our suppliers provide.

Before a Service Agreement is signed, our only obligation in connection with an inquiry is to respond to it. We are not liable for any loss, cost or damage arising from reliance on a preliminary response or an estimate given at the inquiry stage.

10A. Duty of Care

Any duty-of-care support we provide is informational and logistical only. Your organization's legal duty of care to its personnel stays with your organization as employer at all times.

11. Governing Law

These Terms are governed by the laws of the Province of Alberta and the laws of Canada applicable therein. Any dispute arising from or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Alberta.

12. Amendments

Deployed Response Inc. may update these Terms from time to time. The version in effect at the time of your submission governs that submission. The current Terms are always available at www.deployedresponse.com/terms-and-conditions. Material changes will be reflected in an updated effective date.
